How EKKO Loop Handles Data

EKKO Loop is operated by EKKO Ltd, trading as EKKO Loop and EKKO Sales.
We provide automation and AI-assisted communication systems for service-based businesses.

This page explains, in clear terms, how data is handled when you use EKKO Loop.

1. Our Role and Your Role

When you use EKKO Loop:

  • You (the client) are the Data Controller

  • EKKO Ltd acts as a Data Processor

This means:

  • You decide why and how customer data is used

  • We process data only on your instructions, to deliver the service

This structure is defined contractually in our Services Agreement and Data Processing Agreement.

2. What Data Is Processed

EKKO Loop may process the following types of data, depending on how you configure the system:

  • Customer names

  • Phone numbers (including WhatsApp)

  • Email addresses

  • Booking or appointment details

  • Message history and timestamps

We only process data that is necessary to provide the service.

3. How Data Is Used

Data is used solely to:

  • Send booking confirmations and reminders

  • Handle follow-ups and rebooking prompts

  • Respond to customer messages via automated or AI-assisted systems

  • Support customer communication workflows you configure

We do not sell data, profile customers for unrelated marketing, or use your data for our own purposes.

4. Automation and AI

EKKO Loop uses:

  • Automation workflows

  • Rule-based systems

  • AI-assisted messaging tools

AI is used to:

  • Respond to customer enquiries

  • Share booking links or business information

  • Support customer conversations

AI systems:

  • Do not make legal or financial decisions

  • Do not replace human judgement

  • Operate within the rules and settings you control

5. Messaging Platforms

EKKO Loop integrates with third-party platforms such as:

  • WhatsApp

  • SMS providers

  • Email services

  • Booking systems

Message delivery and availability are subject to those platforms’ rules and policies.
Platform outages or restrictions are outside our control.

6. Consent and Legal Responsibility

You are responsible for:

  • Ensuring you have customer consent to send messages

  • Complying with UK GDPR and PECR

  • Ensuring your customer data is accurate and lawfully obtained

EKKO Ltd processes data only on your instructions and does not independently verify customer consent.

7. Data Security

We apply appropriate technical and organisational measures to protect data, including:

  • Secure infrastructure

  • Access controls

  • Trusted service providers

No system can be guaranteed to be 100% secure, but we take data protection seriously and design our systems accordingly.

8. Data Retention and Deletion

Data is retained only for as long as required to provide the service or as instructed by you.

When services end, data is deleted or anonymised within a reasonable timeframe unless we are legally required to retain it.

9. Your Agreements

Use of EKKO Loop is governed by:

  • Services Agreement

  • Data Processing Agreement

  • AI & Automation Disclosure and Acceptable Use Addendum

  • Privacy Policy
